1. Who we are
This website is run by Luke Richardson, a sole proprietorship based in USA, trading as Deep Agent Integrations ("we", "us"). We decide how the personal data described in this policy is used. Contact: deepagentintegrations@gmail.com.
This policy covers visitors to this website. If we build an automation for you and it handles your customers' or prospects' data, that is covered by your customer agreement, where you decide what is done with that data and we act on your instructions, not by this policy. In that case we send the data to our model provider, Anthropic, under our own account with Anthropic, and the customer agreement names every service that handles it.
2. What we collect
When you submit the intake form you give us the five things the form asks for:
- your name
- your company name
- your email address
- a description of the process you want to automate
- how often it happens (a drop-down choice)
The form also carries an invisible spam-trap field that real visitors never fill in. We do not ask for anything else, and the form does not collect your IP address or a device fingerprint ourselves.
When you book a call you use a scheduling page hosted by Cal.com, a separate service. What Cal.com collects is described in Cal.com's own privacy policy, not here.
When you just browse, this website itself sets no cookies, runs no analytics or advertising scripts, and loads no third-party scripts. Our hosting provider (section 5) will see ordinary technical request data (IP address, browser type, time) in its server logs, as any web host does.
Please do not put customer lists, passwords, API keys or other people's personal data in the free-text box. Tell us what the process is; we will ask for samples later, through a safer route.
3. Why we use it, and our lawful basis
We use your form details only to reply to you, to scope and quote work you ask about, and to keep a record of that conversation. We do not use them for advertising, we do not sell them, and we do not feed them to a model or any automated system. Each submission is read by a person.
We use your details because you asked us to get in touch about work, and to run our business of answering business enquiries. If we later email you something you did not ask for, you can say stop and we will stop.
4. Where it goes
When you press submit, your browser sends the form directly to Web3Forms (api.web3forms.com), a form-handling service, which forwards it to an inbox we control as an email. There is no database of enquiries on this website and we do not copy submissions anywhere else automatically. In practice that means your enquiry exists in: (a) Web3Forms' systems, for as long as Web3Forms keeps it under its own terms; (b) our email account, which is a consumer Gmail account provided by Google, and (c) any notes or documents we create if we work with you.

We do not sell personal data and do not share it for advertising. Our email is an ordinary consumer Gmail account used under Google's consumer terms. We do not have a business data processing agreement with Google.
6. International transfers
We are based in the United States and the providers above process data in the United States and may process it elsewhere. We have not put separate transfer agreements in place with them beyond the terms each provider offers to all customers.
7. How long we keep it
We have no automated deletion schedule today, and we would rather say so than invent one. What we do: if an enquiry does not lead to work, we delete it from our email within 12 months; one person does this by searching the inbox and deleting. If we do work together, relevant details are kept for the life of the contract and for 7 years afterwards for tax and dispute purposes. We cannot control how long Web3Forms or Cal.com keep their own copies; ask them directly or ask us to.
8. Your rights and how to use them
You can ask us to show you what we hold about you, correct it, or delete it. We honour these requests from anyone who asks, wherever you live and whether or not a law requires us to. Email deepagentintegrations@gmail.com from the address you used on the form so we can match it to a submission. We will reply within one month and will tell you if we cannot fully comply and why. Because enquiries live in email and in Web3Forms, deletion means we delete our email copies and ask Web3Forms to delete theirs; we will confirm what we did.
We do not sell or share personal information for cross-context advertising, so there is nothing to opt out of. If you are unhappy with our answer, tell us and we will review it; you may also contact your state attorney general.
9. Security
We use reputable providers and send form data over an encrypted (HTTPS) connection. Beyond that, we make no claim of certifications or special measures. No method of transmission over the internet is completely secure.
10. Children
This site is for businesses. We do not knowingly collect data from anyone under 16.
11. Changes
If we change this policy we will update the date above. Material changes that affect data you have already given us will be emailed to you where we have your address.
